Tendering zero quantity shipped orders

Some sales orders have no lines to ship. This may be due to all lines being back-ordered, or the customer has requested a future ship date. For these orders, you can still capture the credit card information during order entry, store the token data, and ensure the system requests an approval and charges the credit card later as items are filled and shipped. A hold credit card transaction in the amount of zero is created. This transaction is inactive until it is shipped.

  1. Select Sales > Entry > Order.
  2. Specify the Customer, Warehouse, and Order Type (Stock).
  3. Click Next.
  4. In Select Products, select a product and specify a quantity.
    Notice the product is not in stock (In Stock: 0.00).
  5. Click Customer Order Settings.
  6. In Terms, select CC - Credit Card.
  7. Click Save, then click the back arrow.
  8. Complete any line item information and click Add Item.
    Notice the Net Amount is 0.00.
  9. Select the Collect Payment view.
  10. In the Pricing Calculator section, in Totals By, select Shipped.
  11. Ask the customer, “What payment type are you using?”
  12. In the Process Payment section, in Payment Type, select the requested type. For example, Visa.

    The Payment Type lists, in sequence, all the payment types for that customer. Payment types are set up in SA Table Code Value Setup. Payment types are assigned to each customer in Customer Credit Card Setup.

  13. Ask the customer, "What is the cardholder’s name and the last four digits of the card you want to charge to?"
  14. In the Payment #/Reference field, select the corresponding name and card from the list.

    The Payment # lists, in sequence, all credit cards currently on file for this customer, and ship to, if specified in the order. The format is Cardholder Name - LastFour (ShipTo). For example, John Doe - 1111 (04).

  15. In the Amount field, ensure the value is 0.00.
  16. Select the Hold CC option. A hold credit card transaction in the amount of zero is created.
  17. Click Accept Payment.
  18. Click OK to open a journal.
  19. Click Finish.

    You can verify this order was completed correctly in Sales Order Inquiry. Expand the Credit Card Details section. In the Credit Card grid, expand the appropriate credit card line. Notice the Stage field value is Hold. This hold transaction is used to create credit card authorizations as the order lines are filled and shipped. The hold transaction is inactive, and nothing is authorized against the transaction. If a line is filled and subsequent back orders are created, the auto tendering function tenders the back orders as they are filled and shipped.

    A term with the Credit Card Only designation does not restrict you from tendering the order with another payment type. For example, if several lines have filled and the customer decides to pay the balance with a check, you can tender the remainder with any payment type. If the Customer Setup record is set to use Credit Card terms, you are not prevented from tendering with another media type or placing the order on account.
