WL Inventory Audit Report overview

Warehouse Logistics > Reports > WL Reports > WLRA

Function acronym: WLRA

After you have completed the initial load in TWL, generate this report to balance the on hand and unavailable quantities in Product Warehouse Product Setup to the available, reserved, and unavailable quantities recorded in TWL.

This report looks at all stocked and nonstocked items, with the exception of labor products, and lists the out-of-balance items and quantities in both systems. Edit errors, which occur because of timing differences between the two systems, and exception errors that may prevent updates are included on the report.

With this information, you can research the discrepancies to correct the source of the problem and then re-run WL Audit Inventory Report in update mode to generate transactions to balance the quantities in the two systems. If an out-of-balance condition is found, the item and the balances from both systems are included on the report. Edit errors are listed after the items and quantities.

Serial and Lot Items

WL Audit Inventory Report creates automatic adjustments to balance the serial/lot quantities if:

  • There are no open orders, transactions, or corrections.
  • The serial/lot item quantity is equal in both systems.
  • No S1 or L1 exceptions exist (see exception list).

If you are recording serial items by warehouse, rather than location, TWL cannot validate the available or unavailable status at the pallet or location level. If serial records exist in both systems, but the system status is available or unavailable, it is helpful to clear all serial records with an unavailable status to facilitate balancing.

These codes print when an exception is encountered. A manual adjustment might be necessary depending on the exception. For example, S1 and L1 are fatal exceptions that mean the serial/ lot records in TWL do not balance with the quantity balance and no automatic update can be made.

Code Exception Description
L1 TWL lot count out of balance with TWL item quantity WL Audit Inventory Reportdoes not automatically update the system because the TWL quantity is out of balance with existing lot records. You must make manual adjustments in TWL before you can update or compare records with the system.

WL Audit Inventory Report does not automatically update the system because the TWL quantity is out of balance with existing serial records.

You must make manual adjustments in TWL before you can update or compare records with the system.

S2 TWL serial record(s) do not exist in the Distribution SX.e system The Product Unavailable Inventory Entry record in the system is missing or has an incorrect status.

Qty On the report, the Qty column describes the status of the item quantity and can have these values: Description
Yes The item quantity was out of balance and a stock adjustment was made.
No The item is out of balance but a stock adjustment was not created.
Blank The item is in balance but a serial/lot exception exists.

The Updated Qty column is blank if the item quantity is in balance, the item is not a serial/lot item, or you chose to leave the records without updating. Because this item appeared on the report, the Qty column is either Yes or No, indicating an out-of-balance situation.

The Ser/Lot column describes the status of the serial/lot record and can have these values:

Ser/Lot Description
Yes There is a discrepancy and you are updating serial/lot records. A stock adjustment was created to update system serial/lot records based on the TWL data.
No No serial/lot records were updated due to a discrepancy record count between the system and TWL.
Blank The item quantity is in balance, the item is not a serial/lot item, or you chose N for the Serial/Lots: E)dit, U)pdate, or N)either option. Because this item appeared on the report, the Qty column is either Yes or No, indicating an out-of-balance situation. No action is required for the quantity or serial/lot record.

An order number is required to post detail transactions for quantity changes and adding and deleting records. The order number from the last inventory control transaction (Product Unavailable Inventory Entry) is assigned to the entire WL Audit Inventory Report update. The order number keeps the detail serial/lot transaction records unique when quantities are adjusted. The transaction records track the type of adjustments that were required to balance the systems.

When system detail record has a status of sold, retired, direct, or blank; and TWL has an active record, the status in the system is changed to active.

If serial/lot records are out of balance, correct the error and enter manual adjustments.
