Vendor Setup - General overview

Use this page to specify general information about a vendor, such as address and telephone information. The information requires minimal maintenance after it is first established.

Throughout the system, you can access vendors by number and lookup name. The other information on this page refers to general classifications and ordering information.

Division security

If you have multiple divisions in your company, vendor records can be assigned to a division. Based on security settings in SA Operator Setup-Other Options, users can be restricted to viewing and maintaining data for one or a list of divisions. They are also prevented from purchasing products from vendors assigned to a division that is not on their list of allowed divisions.

If your vendor is centralized and used by all divisions in your company, do not assign a division number in Vendor Setup.

These restrictions apply to all searches and lookups performed against a vendor. When you perform a lookup on a Vendor field, the results are limited to only those vendors assigned to divisions in the user’s allowed list of divisions and where the Restrict Data Access for AP is Yes in SA Operator Setup-Other Options.

You can also identify vendors whose Vendor Setup record is restricted from editing, regardless of division or their SA Operator Setup-Function Security level. If the Restricted Editing option is selected in Vendor Setup, only those users who have the Allow Editing of ‘Restricted Editing’ AP Records option set to Yes in SA Operator Setup-Other Options can edit the vendor record. This is useful if you have vendors that you manage at the corporate level and do not want employees in other divisions to add or maintain their Vendor Setup records.

The Restricted Editing option can be used whether or not you assign users to allowed divisions.
