Claiming a vendor credit from a short-term SPA

As the buyer, you must process cost recovery for all short-term special pricing agreements (SPAs) manually. You can create a new PO for the contract cost or rebate amount, or apply the contract cost or rebate amount to an existing PO using, for example, an addon or discount. There may be situations when you are due money, or a credit, from the vendor for a one-time cost contract written for an amount not directly associated with an item.

For example, for a vendor-managed inventory (VMI) product, the PO would be generated by the vendor, and you would not create a PO. However, you can reconcile the amount manually, and then clear the credit through Purchase Order Entry after the PD Pricing Setup-Vendor record is updated during invoice processing.

Note:  Before to clearing the credit, you must ensure the vendor is remitting the credit.
  1. Select Purchase > Entry > Purchase Order.
  2. Specify a vendor number and ship to warehouse.
  3. In the Purchase Order Type field, select Purchase Order.
  4. Complete the remaining fields as necessary in the Initiate view.
  5. Click Next.
    1. If a short-term special pricing agreement rebate amount exists in the system, the first time you initiate a purchase order, a message is displayed: Vendor Contract Amount Found, Want to Claim?
    2. Optionally, click Yes to claim the outstanding amount.
      Optionally, if you click No, the rebate amount remains in the system and the message is displayed again the next time you access Purchase Order Entry.
      At this point, you can create a new PO for the contract cost or rebate amount.
  6. In the Select Products view,
  7. Click Purchase Order Settings.
  8. Click Contract Amount.
  9. In Vendor Credit, the grid provides list of short-term special pricing agreements for which you are due money from the vendor. Select a line.
  10. Select Use Full Amount.

    Optionally, you can claim only a portion of the credit, click in the Use Now column. Specify an amount to use with the current PO. When you click Submit, the PD Pricing Setup-Vendor Contract Records contract pricing record is updated, which updates the Use Now field.

  11. Click Submit.
  12. Click Review & Totals to open the this view, or Finish to complete the order.
