Returning or transferring surplus stock

Use these instructions to identify surplus stock and automatically create PO RMs or WTs for those products that can be returned to the vendor or transferred to a distribution warehouse. This is done by sending the output to a CSV (comma-separated values) file instead of the standard report output.

  1. Access Product > Reports > IC Reports > Surplus Stock Report.
  2. On the Report Information view, specify Email as the Print Type to submit the report or CSV files to the vendor or warehouse manager as an email attachment. If you select Email, also specify the recipient’s email address.
  3. On the Ranges view, specify a range of vendors. The report reviews all products that qualify as surplus based on all options selected, and includes only those products with an Authorized Replenishment (ARP) Type of Vendor in Product Warehouse Product Setup and an ARP Vendor within this range.
  4. Specify a range of warehouses to limit the products that are reviewed to those within a specific warehouse or range of warehouses.

    The report does not look at the ARP warehouse on each product’s Product Warehouse Product Setup record when applying this range. This is the ‘from’ warehouse, where the product currently resides.

  5. Specify any other ranges to limit the products as required.
  6. On the Options view, specify the option settings as required, paying special attention to these options:
    Create C)SV Files, R)eport Only or B)oth
    Specify C to create a CSV file, or B to create both the CSV file and the standard Surplus Stock Report. If you specify C, the CSV file is attached to an email and sent to the email recipient. The file is also placed in the Print Directory location defined in SA Company Setup.
    If you specify B, the Surplus Stock Report is printed and the CSV files are created. If you selected a Print Type of Email on the Report Information view, the report and CSV files are sent as email attachments. The CSV files are also stored in the Print Directory you defined in SA Company Setup.
    CSV by V)endor,W)hse,N)on ARP, or A)ll
    Specify V to produce a CSV file of surplus products by vendor and warehouse. Surplus products with an ARP Vendor in Product Warehouse Product Setup are included in each CSV file. A single CSV file for each vendor is created and assigned a unique file name containing the vendor ID and ship from warehouse. (Example: icris-vendno-101-whse-main-390393003.csv.)
    Specify W to produce a CSV file for each warehouse from/warehouse to combination. Surplus products with an ARP type of Warehouse or Central Warehouse in Product Warehouse Product Setup are included in each CSV file.

    Specify A to produce CSV files for all items that qualify as surplus, sorted by product and warehouse. Separate CSV files are created for vendors and warehouses when there is an ARP vendor or warehouse in Product Warehouse Product Setup. If there is no ARP vendor or warehouse for the product, a Non ARP CSV file is created.

    CSV PO/RM Default Unavailable Reason
    This field is required if you specified Vendor or All for the option CSV by V)endor,W)hse,N)on ARP, or A)ll. If you intend to import vendor CSV files after receiving approval from your vendor, you must include the Reason Unavailable on each line. Without the Reason unavailable, the import of the line fails in Purchase Order Entry. Use this option to define a default unavailable reason that is stored on the PO RM line that is created during the import. Reason Unavailable values must be set up in SA Table Code Value Setup.
  7. Click Next and then Save to finish.
  8. If you selected a Print Type of Email, the CSV files are sent to the vendor or ARP warehouse manager, if that is who you specified to receive the email in step 2. If you selected another print method, access the CSV files in the SA Company Setup print directory. Submit them to your vendor or distribution warehouse manager for approval.
  9. When you receive approval from your vendor or distribution warehouse manager to return or transfer any of the surplus stock items, edit the appropriate CSV file to delete any products that were not approved for return or transfer.
  10. To import a vendor CSV and automatically create PO RMs for the products in the file, complete the procedures for importing a spreadsheet.
  11. To import a warehouse CSV and automatically create warehouse transfers to move the surplus products from the current warehouse to the distribution (ARP) warehouse, complete the procedures for importing a spreadsheet.
