Deleting a product record

When a product becomes obsolete, you might want to delete the product record. Because you cannot recover deleted records, make sure that you have selected the correct product.

When you delete a product record, all history records for the product (Product Setup) and warehouse product (Product Warehouse Product Setup) are deleted. Before you delete a product record, take note of these deletion rules:

  • The Product Warehouse Product Setup quantity balances must be zero.
  • The product does not exist on active order lines. For example, if the product exists on purchase order lines that have been received, then sold and invoiced, the product records are deleted because they are no longer active.
    Note: The product can be deleted if it exists on an open purchase order line as a true nonstock item while still being bound by the other conditions.
  • Product records (and kit components) are deleted if the product exists on return lines that have not been shipped.
  • If associated rebates exist, they are deleted if you are pricing by warehouse.
  • Associated customer totals are deleted if you maintain extended warehouse/product records.
  • A product on a cycle or physical count run cannot be deleted.
  • Cross-reference records for auto pricing or supersede are deleted if they are not also tied to catalog records (Product Catalog Setup) for the product.
  • You can delete a product record only if associated Product Restrictions Setup or Product Certifications/Licenses Setup records are inactive. When you delete a product record, the main product restriction record and the attached customer-level records for that product are also deleted. If there is a record for a product in Product Setup and Product Catalog Setup, and you delete only one of the records, the associated product restriction records for the product are not deleted.

Use these instructions to delete a product record in Product Setup. You can also delete a warehouse product record in Product Warehouse Product Setup.

  1. Select Product > Setup > Product.
  2. Select the product you want to delete. 
  3. Click Delete.
  4. Click OK.
