Reading and modifying notes

To read and modify reusable notes, use the System/User Notes form. You can launch the System/User Notes stand-alone, and read or modify reusable notes from there. You can also launch the System/User Notes form from an Object Notes form that is linked to a record, or from a Class Notes form that is linked to a collection. To launch the System/User Notes form stand-alone, without reference to any record or collection, select View > System Notes.

You can read both single-use and reusable notes that are attached to a record or a collection. In many cases, you can also modify the notes.

  1. Open a form and select a record that has notes attached. You can tell which records have notes attached by checking these areas:
    • In the tool bar, the Notes button is highlighted when a record has an object note, that is, a note for the current record, attached.
    • The status bar for a record with a note attached displays the word NOTES.
    • The Actions menu for records with attached notes displays a check mark next to the Notes for Current or Notes for All option.
    Note: If no notes are displayed, but the Notes for Current or Notes for All option has a check mark, then the attached note is a private or non-system user note that was added by another user.
  2. Open the appropriate notes form:
    • To open the Object Notes form for single-record notes, select Actions > Notes for Current.
    • To open the Class Notes form for notes that are linked to all records in a collection, select Actions > Notes for All.
  3. In the notes grid, select the note that you want to read or modify.
    Note: If the fields are inactive, then it indicates that the attached note is a reusable note. To modify a reusable note, click the Attach/Detach Reusable button and update the note on the System/User Notes form.
  4. Optionally, if a note includes an attached file or link, in the web client, you can click the Open Link button, or in the Windows client, you can click the Open Attachment button.
  5. Optionally, modify the subject and note text.
    To modify an existing note with an attached link or file, in the web client, you can click the Attach Link button, or in the Windows client, you can click the Open Attachment button.
  6. To save the changes, click the Save icon on the toolbar.
