Creating a User template

User templates define the settings you require to use when creating new users. Templates are recommended because the templates reduce the administration time.

This application includes several default user templates. You can customize the default user template, or create a new user template.

For example, you can create a user template named Manager which can function as the generic user profile for all managers in your company. When you create the users and apply the template, the profile is already configured with the appropriate settings.

User templates do not consume application user license and cannot log on to application.

Note: If the template is not assigned to the Standard User role, any new users created from the template are not authorized to access some Web Client features. See What are Roles and Secured Actions?

To create a user template:

  1. Select Add Users from the Administration menu.
  2. Select Template in the Add field.
  3. Select the number of user templates that must be added in the Quantity field.
  4. Proceed to step 7 if you require to manually modify each tab in the template profile to configure the settings.
  5. Select the Create From Profile check box and select one of these to create the template from an existing template or using the profile of an existing user:
    • Template adds a template based on an existing template. In the Templates field, select the name of the template.
    • Existing User adds a new user based on an existing user profile. In the User field, select the name of the existing user.
  6. Select the required tabs to copy from the template or user profile.
    • General: General and department settings are copied. The Username, Name, Title, and EMail fields do not apply when copying information.
    • Employee: The Fax, Mobile, Pager, Direct, PIN#, Accounting, and all Personal fields do not apply when copying information.
    • Security: All security settings are copied.
    • Teams: All teams settings are copied.
    • Calendar: All calendar settings are copied.
    • Service/Support: All service and support settings are copied.
    • Client Options (Client System): The default account owner and base template settings are copied.
  7. Click OK.
  8. Use the User detail view to modify the user profile when the template is created. See Changing a user profile
    Note: Some of the fields in the user profile do not apply to user templates and are not available for modification.
