Managing duplicate records

While importing leads, you can look for other leads or contacts that exist in the database. If a record exists in the database with the same information, you can avoid duplicate records.

Note: The application can search for duplicate records only from those files for which you have access. A duplicate record which you cannot access can still exist.

To search for matching records:

  1. Click Next when importing the leads, after mapping the fields.
  2. Select Check for duplicate leads.
  3. Select the records to be searched adjacent to the Type field.
  4. Select the filter check boxes to be applied under Match Filters.
    Note: The available options are based on the values you selected when mapping fields.
  5. Click Advanced Match Options to perform an advanced search. See Using advanced match options
  6. Select Auto-merge duplicate records check box to automatically merge duplicate records during the import.
  7. Select one of these in the Conflicts field:
    • Existing record wins: When records are merged, the existing record information is used.
    • Imported record wins: When records are merged, the imported record information replaces the existing record information.
  8. Click Run the Test to run the Find Duplicates Test on the first 100 records in the import. See Importing leads - testing for duplicate records
  9. Select the Check for duplicates contained within the import source file check box if you require to check for duplicate records within the import source file.
    Note: Selecting this option increases the time to complete the import.
  10. Click Next to go to the next step. See Selecting Import Group Actions.
    Duplicate records found and not merged, display on the Duplicates tab in the Import History detail view after the import is complete. From there you can manage the duplicate records. See Resolving duplicate Leads found during import.
