Defining the Create Activity Workflow Step

CRM Workflows support a create activity step action that can be added and defined in the CRM Workflow Designer tab. When triggered, the Create Activity step schedules an activity based on the step definition.

Associations are added automatically, for example for an opportunity workflow the activity would automatically be associated with the opportunity, opportunity’s account, and the opportunity’s primary contact.

The Leader can be defined as a specific user using a lookup, or dynamically based on related user properties like account manager, regional manager, or divisional manager.

To define a CRM Workflow Create Activity step

  1. Select Integration > Integrations.The Integrations list page is displayed.
  2. Click CRM Workflow. The Integration detail page is displayed.
  3. Click the Workflows tab.
  4. Click the Workflow Name. The CRM Workflow Definition detail page is displayed. See Using the Workflow Definition Detail View
  5. Click the Workflow Designer tab.
    Note: You can also create a Create Activity Step
  6. Click the Setting button to Create Activity step.
  7. Specify this information on the General tab:
    Caption
    The text that displays as a label.
    Delay Duration
    Specify a numeric value for a number of days, hours, or minutes after the previous step to delay before this step is generated.
    Delay Increment
    Select the Days, Hours, or Minutes after the previous workflow step to delay before this step is generated.
    Edit Condition
    Click Edit Condition to define condition criteria that must occur before the step is generated.
  8. Click Activity Options tab to define activity information:
    1. Click Activity Type and select the type of activity to schedule.
    2. Specify the number of days after the completion of the previous step to schedule the activity in the Start Days After Step Completion field.
    3. You can use one of the following:
      • Select Timeless if the activity does not need to be scheduled for a specific time or duration.
      • If the activity needs to be scheduled for a specific time of day and duration:
        1. Clear Timeless.
        2. Click Start Time to select the time of day the activity should be scheduled.
        3. Specify or select a number and time increment for the Duration.
    4. Select Reminder and specify or select a number and time increment to be notified before the activity start time to set a reminder for the activity.
    5. Click Regarding to select a regarding type.
    6. Click Priority to select the importance of the activity.
    7. Specify the Leader.
      • Select a specific leader to always be scheduled for the same user. Use the lookup to find and select an Infor CRM SLX user for the activity leader. Click OK.
      • Select the Select a leader from a related entity property and select the option to be scheduled for a user related to the record against which the workflow is exist.
        Note: 
        • This option is only applicable if the workflow entity has a relationship with a specific user, such as Account Manager.
        • The options available depend upon the entity defined for the workflow. For example, for an account workflow the options are Account Manager, Divisional Manager, and Regional Manager.
        • If the option selected is not defined for the record, then this step ends with an error and proceed to the error step that is defined in the Note of the step 12.
    8. Click the Category drop-down arrow to select a category type.
    9. In the Notes area, specify any notes for the activity.
  9. Click OK.
  10. Create and define next step if the create history step completes.
    1. Click Add icon in the Create Activity step.
    2. Click Complete in the Select a result window.
    3. Select the step action to create.
    4. Define the step.
