Configuring a Standard ION Workflow

Infor CRM SLX provides nine standard ION Workflows. You must configure a Standard ION Workflow to ensure that the Workflow is triggered when the trigger condition is met.

To configure a Standard ION Workflow:

  1. Download the ION Workflow files.
    1. Log on to Infor Concierge and locate the KB article 1974772.
    2. Download the zip file available in the KB article.
    3. Extract the files to a local folder.
  2. Import the ION Workflows to ION Desk
    1. Log on to the ION Desk connected with Infor CRM SLX.
    2. Select Model > Monitors and workflows > Workflows.
      The Workflows window is displayed.
    3. Click export.
      The Upload Local File window is displayed.
    4. Click folder
      The Open window is displayed.
    5. Navigate to the location at which the files extracted in step 1c. are saved.
    6. Double-click the High_value_Opportunities.xml file.
      Note: This imports the High Value Opportunities ION Workflow. To import other workflows, select the corresponding xml file.
    7. Click OK.
      The Import window is displayed.
    8. Click OK.
    9. Click activate on the High_Value_Opportunities widget, to activate the ION workflow.
      Note: The workflow may not be activated, if you navigate out of the web page before the activation is complete.
  3. Create an ION Workflow definition in Infor CRM SLXInfor CRM SLX.
    1. Click vsv (App menu).
    2. Click Infor CRM.
      The Infor CRM SLX Welcome page is displayed.
      Note: Non SSO customers will need to login to Infor CRM SLX
    3. Select Integration > Integrations.
      The Integrations List view is displayed.
    4. Click ION Workflow.
      The ION Workflow Detail view is displayed.
      Note: Select the Enabled check box, if not selected.
    5. Click the Workflows tab.
      The Standard ION Workflows are displayed.
    6. Click High_Value_Opportunities.
      The High Value Opportunity Workflow’s Detail view is displayed. You can view these fields.
      Workflow Name
      The name of the Workflow. This is case sensitive and must match with the workflow name mentioned in ION Desk.
      Entity
      The Entity on which the Workflow is used. This workflow works on the Opportunity entity.
      Auto Triggered
      If this check box is selected, the Workflow is automatically triggered when the Trigger Condition is met.
      Active
      If this check box is selected, the Workflow is set to active state.
      Owned by
      The name of the Opportunity record owner. This value is sent as a parameter in the BOD as an input to the workflow.
      Approver Email List
      The list of the reviewers who can approve or reject the Opportunity, when this Workflow is triggered.

      By default, 3 placeholders are provided, separated by a semi-colon - email1;email2;email3

      You can replace these with the Email Ids of the approvers.. If you leave this field blank, you must remove Approver1, Approver2, Approver3 properties from the workflow in ION Desk.

      Multiple Emails separated by semi-colon can be added as required. To capture these values in the workflow, you must add additional workflow parameters as Approver4, Approver5 and so on.

      Lock Entity Fields
      If this check box is selected, the Opportunity is locked until approved or rejected by a manager.
      Trigger Condition
      The condition against which this Workflow is triggered. In this case, the condition is set to Sales Potential greater than or equal to 100000 and Closed is False.
    7. Click Edit Condition to add more conditions or to edit or delete the existing conditions.
    8. The trigger condition can be removed by keeping a blank value for the existing property.
      Note: A Workflow must have at least one trigger condition if automatic trigger is selected.
    9. Click Save.
  4. Trigger the workflow.
    1. Log on to Infor CRM SLX as a Sales Representative or Administrator.
      Note: If you are SSO enabled, you are automatically signed in.
    2. Create a new Opportunity. Add products to the Opportunity to ensure that the Sales Potential in the opportunity snapshot becomes equal to or exceeds 100,000.
      Note: 
      • If multicurrency is enabled, you can specify the Opportunity value in any currency. It is not mandatory to enable Multi currency to follow this example.
      • If SSO is enabled in the organization, the Sales Representative’s manager and the Account manager receive a review task. When one of them accepts or rejects the task, the Sales Representative receives a notification in Infor Ming.le and an email.
      • If SSO is not enabled in the organization, the managers only receive an email notification.
