Adding a direct rep user

This topic describes how to add direct representative users in CPQ Enterprise Quoting. For a description of this user type, see Understanding users, roles, and form access.

When you add a direct representative, many of the settings use default values from application preferences. You can override the settings for individual representatives, as described here.

  1. In CPQ Enterprise Quoting, select My Company > Representatives.
  2. Click Create Representative.
  3. Under Representative Information, specify the required information for this user. The email address must be unique.
  4. Under User Account, you can view the status of this account. See Checking user account status.
  5. Under Application Settings, specify this information:
    Role
    Specify User.
    Note: Typically, No Access is used only when you want to keep an existing user in the system, but they no longer need access to forms.
    Quote/Order Privilege
    These are your options:
    • None: The user can view but does not need to create or modify direct quotes or orders.
    • Quote Only: The user needs to enter only direct quotes. Quotes created by a user at this level must be converted to orders by a different user who has at least the Can Convert Quotes to Orders permission.
    • Can Convert Quotes to Orders: The user needs the ability to enter direct quotes and to convert partial or full quotes to orders.
    • Can Order Directly: The user needs the ability to enter direct quotes and convert partial or full quotes to orders. They can also create a direct order without having to first create a quote. Only this permission level can place and maintain direct orders.
    On-Behalf-Of Quote/Order Privilege
    These are your options:
    • None: The user can view but does not need to create or modify quotes or orders on behalf of a selected dealer.
    • Quote Only: The user needs to enter only quotes on behalf of a selected dealer. Quotes created by a user at this level must be converted to orders by a different user who has at least the Can Convert Quotes to Orders permission.
    • Can Convert Quotes to Orders: The user needs the ability to enter quotes and to convert partial or full quotes to orders, on behalf of a selected dealer.
    • Can Order Directly: The user needs the ability to create quotes and convert partial or full quotes to orders, on behalf of a selected dealer. They can also create a dealer order without having to first create a quote. Only this permission level can place and maintain dealer orders.
    Manage Territories
    If the user needs the ability to manage territories, select this check box. This enables the user to add, update, remove, and assign territories, based on the scope of the user's own assigned territories. See also Managing territories (administrator).
  6. Under General, specify the price list to use by default for this representative.
    Note: For initial setup, the application default price list may be the only available price list. After product and price list records are added to your system, you can change this setting as needed. See About price lists.
  7. Under Configuration Profiles, specify this information:
    Default
    Specify the configuration profile, as defined in the rules model, to be run by default when CPQ Enterprise Configurator is launched for a configurable item.
    Mobile
    Specify the configuration profile to be used when CPQ Enterprise Configurator is launched from the mobile client within Infor Go.
  8. On the Order Placement Default Terms tab, specify the business terms, shipping terms, and payment terms that will apply for quotes and orders entered by this representative. These are terms between the manufacturer and the dealer.
  9. On the Application Preferences tab, specify any changes to default pricing and print options that will apply for quotes and orders entered by this representative.
  10. On the E-mail Template tab, you can change the default text to use for the subject and message of an email that can be sent for quotes and orders.

  11. On the Territories tab, enable the appropriate territories for this representative.
As a result of creating this user record, and based on configuration described in the Infor CPQ Enterprise Quoting Configuration Guide for Infor OS, a BOD is sent to Infor Ming.le with this user's information. Infor Ming.le sends email messages from Infor CloudSuite Identities to the user, with links the user must click to register and then sign in to CPQ Enterprise Quoting.
