Understanding users, roles, and form access

Access to forms in CPQ Enterprise Quoting is based on pre-defined user roles. This topic provides a description of each dealer role, a list of forms that can be accessed by each role, and an explanation of how a typical implementation adds or changes users for each role.

Pre-defined roles

These are the pre-defined roles that can be assigned to CPQ Enterprise Quoting dealer users:

Role Description
Dealer Administrator The manufacturer has created your dealership in CPQ Enterprise Quoting. The dealer administrator is an employee of your dealership and was the first dealer representative that the manufacturer added to CPQ Enterprise Quoting for your dealership. Typically each dealership has only one user with this role.

The user who has the dealer administrator role maintains company profile information and application settings for your dealership, including payment methods, payment terms, shipping policies, items, and more. The dealer administrator also sets up dealer representatives and territories in your system; manages child dealers, when applicable; can add customers, agreements, and projects; and can enter dealer quotes and orders.

Dealer Representatives Dealer representatives are also employees of a manufacturer's dealership. These users can use the same forms as the dealer administrator, except for most My Company forms. Users in this role primarily enter quotes and orders for the dealership.

These users are typically added to the system by the dealer administrator and can be assigned to various territories, if territories have been created and enabled by the dealer administrator. Territories provide security, so users have access to only the entities such as quotes, orders, customers, projects and jobs from their assigned territory.

*The Product Catalog and Projects forms are displayed in the navigation menu only if they have been enabled for use by the manufacturer's EQ administrator. The Product Catalog, when enabled, is also available when the Add Item button is clicked for a quote or order.

**Not all users need the ability to enter new quotes and orders. This functionality on the Quotes and Orders forms can be controlled by dealer administrators using a setting on the Representatives form.

About adding users

In a typical dealership implementation of CPQ Enterprise Quoting, the dealer administrator user is added to the system by the manufacturer's EQ administrator. The dealer administrator then adds dealer representatives to the system. See Adding a dealer representative user.
