Entering data for standard accounts
This section discusses how to specify reported data for standard accounts for applications that track the Approval process status of each unit.
Different views are required to submit data for the Approval process.
To specify data for standard accounts:
- Go to a data entry view. You can set up data entry differently for Budgeting than for Financial Consolidation.
-
A button displays for the dimension you can select. Your
administrator specifies the default value selected for the view. If you need a
different member, click the button and select a member from the dialog box.
If multiple instances of the same view are open by the same user, there is a risk that data could be lost or saved to the wrong unit. This can happen when different data slices are selected for the same view. The web server saves data to whatever data slice was changed last.
- Review the data. Look for notes attached to cells and areas where data entry is needed. Notes are identified by an indicator in the upper right corner of a cell. Select Annotation Report or Descendants Annotation Report from the list to review all the notes on the grid.
-
Specify the data.
You can specify data in periodic or year-to-date format, according to the selected Accumulation Method dimension member. For details on year-to-date behavior, see "Understanding Year-to-Date Data Behavior."(Approval process Only) The grid allows writeback only for submitters (not approvers) and then only if (1) the selected unit has been directly assigned to the submitter by the administrator and (2) the status on the grid is Unsubmitted, Loaded, or Rejected. Before specifying data to a consolidation member, be aware that consolidations that read local data submitted directly to consolidation (parent) members instead of leaf members do not support:
- Data submitted to both a parent and one or more of its descendants for the same account (e.g., you cannot submit data to both New York and US (its parent unit) for the same line)
- Data submitted to a Period dimension member that is considered a consolidation member based on the schedule periodicity. For example, you cannot submit data to Quarter 1 for any line using a schedule with monthly periodicity.
- Use phasing to spread amounts across cells or to modify groups of cells.
- Save or submit your data. If submitting data to the database does not automatically run a local consolidation, you can calculate local data manually by running a Local Consolidation. A local consolidation rolls up data in custom hierarchical dimensions and calculates database formulas and total lines in local currency for the current schedule and unit. For details, see the "Consolidation" chapter.
