Status

The Approval process tracks the status by the associated Period or merged Period Year, Unit or approval dimension, and Version dimensions. On the pages, these off-grid dimensions are called the status buttons.

You can change the member for the primary approval dimension but you may not be able to change members for the other status buttons. What you can change is determined by how the administrator set up the view.

Changing an Approval dimension member results in a new data slice with its own status. The remaining off-grid dimensions are the non-status buttons. Changing a non-status member does not change the status; it displays a different view of the same data with the same status.

The status for current data displays in the upper left corner of each Approval page. The status is color-coded, as follows:

Status Description
Unsubmitted (white) A submitter has not submitted the data to the database or has submitted to the database but has not yet submitted the data for approval. This data and associated submitter's notes are available for entry or revision only by a submitter assigned to the selected unit.
Submitted (yellow) A submitter has submitted the data for approval. This data and associated submitter's notes are read-only and cannot be revised.
Rejected (red) An approver has rejected the data. This data is available for entry or revision by any submitter assigned to the selected dimension.
Approved (green) An approver has approved the data. An approver can still change this status to Rejected, but a submitter cannot revise or resubmit the data.
Loaded (blue) The data has been loaded using OpenLink but has not been submitted for approval. This data and associated submitter's notes are available for entry or revision only by a submitter assigned to the selected unit.
Locked by System Admin (purple) When the status is locked by system administrator, the approval process behaves as if the data has been submitted and the user cannot change the data until the system administrator resets the status to unsubmitted.
Not Applicable (gray) The data is read-only and cannot be revised because no approver-submitter relationship is set up for the selected unit. It can also mean there are multiple Approval dimension members on the grid with mixed statuses.
