Defining report exceptions
To define report exceptions:
- Highlight the data you want to color code. You can select a cell, range of cells, or an entire row or column.
- In the Exceptions group, select .
- In the Name list, specify a name for the exception.
- Click the button to select members.
- For Data Ranges, click Add.
- Select the Enforce Consecutive Ranges check box if you want the ranges to be consecutive. If the Enforce Consecutive Ranges check box is not selected, the additional ranges do not need to be consecutive. For example, the minimum amount for the second range does not need to be the maximum amount from the first range. If you have non-consecutive ranges, you can select the Includes Bottom and Includes Top check boxes to include the specified value in the report exception.
- For consecutive ranges, you start with the second value in the range. The first value is automatically determined. For non-consecutive ranges, specify the bottom and top values. If you define two or more ranges, an alert is displayed if a value falls within any of the ranges. The range applies to actual database values (not rounded values that may be displayed on a view). For example, if a range is defined as 1-100 (values greater than 1 and less than or equal to 100), a .96 database value that is rounded to 1 on a view will not show up on the alert (.96 is less than 1 and therefore outside the range), but a 1.03 database value will show up on the alert exception, even though it also displays as1 on the same view.
- Select the Back Color. This color is used as the background color for the cell.
- Select the Font Color. This color is used for the text.
- Select the check box to color code the cell in proportion to all corresponding cells in the row or column. To ensure visibility of the color coding, the first 20% of the cell is always colored and the proportional representation starts from that point. If you selected a single cell, the proportion calculation is based on the cell value.
- Optionally, select the Gradient Colors check box to fade the color from one end of a data point to the other.
- Continue through the remaining ranges.
- Click .
