Adding the Approval views

Create a view with a name that matches the approval views schedule lines you previously created.

The approval views are used with data entry views, intercompany data entry, Excel Services or OpenLink to secure the approval process. When using with data entry views, the appropriate approval view is the specified overview. The approval view is also used as the submit, approve and reject view.

These views need to be specifically set up to properly secure the approval process.

To create the views:

  1. In View Manager, add a view. The view name must match the approval view schedule line you created earlier. In CTrain, the corresponding view is named CT_AP_Expenses or CT_AP_Expenses_CP.
  2. Set up the grid as:

  3. Use the Total Year period member as the Budgeting off-grid member. It is also recommended that a current period keyword is used for the Financial Consolidation off-grid member.
  4. Place Period on labels so the user cannot change these dimensions interactively. Use keywords to change the current period for Financial Consolidation.
  5. Set the schedule line as the down dimension. This should include all schedule lines that need review to support the submit, approve, or reject approval review. You can use schedule lines from one schedule or from multiple schedules.
  6. Do not allow rotation for any dimensions except the schedule and unit dimensions. You can rotate the unit dimension on-grid for cascade writing of the approval activity.
