AI Search

AI Search lets you find reports and dashboards by describing what you're looking for in plain language. Instead of needing to remember exact report names, you can ask a question about your data and AI Search finds the content that can answer it.

Traditional search in Birst uses exact-word matching. The report or dashboard name must contain the words that you specify. AI Search understands the intent of your query and finds content based on its meaning, not just its title.

Traditional Search AI Search
You type ''sales'' "How are my beverage products performing?"
How it works Finds reports with "sales" in the name Understands you're looking for product-level revenue data
Results Only reports named "...sales..." Finds the "Product Category Revenue Dashboard" because it contains relevant measures and attributes

AI Search finds content across your workspace catalog, including:

  • Visualizer reports, such as charts, tables, and others.
  • Dashboards with multiple widgets.
  • Reports within dashboards.

The AI considers multiple aspects of each report and dashboard when matching your question:

  • Report and dashboard names
  • The measures and attributes contained in reports
  • Dashboard content, for example KPIs, charts, and filters
  • Tags applied to catalog items
  • Report descriptions when provided

Examples:

  • "Which dashboard shows monthly revenue by region?"
  • "Find reports about customer churn"
  • "Show me anything related to product inventory levels"
  • "Where can I see year-over-year growth?"
  • "I need the employee headcount report"
  • "Top customers by order value"

How AI Search differs from standard search:

Standard Catalog Search AI Search
Matching Exact substring in the name Meaning-based across all content
Input Must know the report name or part of it Can describe what you are looking for
Scope Report/dashboard name only Name, content, tags, measures, attributes
When to use You know the exact name You know what data you need but not where it lives

Recommendations:

  • Describe what you want to know, not the report name. "How are sales trending this quarter?" works better than guessing at a report name.
  • Be specific about the data. Mention measures, dimensions, or business areas to narrow results for example "revenue by product category" rather than just "revenue".
  • Use business terminology. The AI matches based on the labels and descriptions configured in your data model. Use the same language your team uses.
  • Try different phrasings. If the first search does not return what you need, rephrase using different terms or more detail.

Remember these things:

  • AI Search only finds content you have permission to access. Results respect your existing catalog and data permissions.
  • The quality of search results improves when reports and dashboards have descriptive names, tags, and report descriptions.
  • AI Search uses the labels and descriptions from your workspace's Data Model Descriptions to understand what each report contains.
  • Results may include both an answer to your question and a list of relevant reports/dashboards you can open.
  • AI Search is available when the AI Search toggle is enabled for the workspace. Select Space Management > Space Properties > Advanced > GenAI > AI Search.
