Manage Notifications
Note: This was previously referred to as "Report Scheduler" in the Flash UI.
Notifications send regularly scheduled emails with an attachment of either a single report or entire dashboard. Notifications show a snapshot of the report at the time the notification is created. Space administrators can access a list of all notifications created in Report Scheduler, Designer, Dashboard and Dashlets. Note: Only Designer notifications can be edited and created through the Notification module. Visualizer and Dashboard notifications are visible, but can only be edited through the Visualizer and Dashboard modules.
Managing Notifications
- From Admin 2.0, select Space Management.
- Select Notifications.
- Hovering over the notification will display additional information for the notification. Use the Search bar to search for notifications.
- The notification type is indicated by the icon.
- There are two layout modes:
- Select the Full Screen Mode icon to view the full screen layout.
- To exit Full Screen Mode, click red X icon.
- Select the Full Screen Mode icon to view the full screen layout.
- To create a new notification, click + Create New Notification.
- Enter the notification details.
- Notification Name. This displays as the name in your Notification Center. It is not visible in the sent email.
- To. Depending on your account settings, you will either see an option for Email List and Report Driven or User and Email Recipient.
- Email List or Report Driven
- Email List: Enter the email addresses you would like to send the notification to. When sending this email to multiple addressees, separate emails with a semicolon and no spaces. For example, MyBoss@myCo.com;Me@myCo.com.
- Report Driven: The recipients of a scheduled Designer report can be determined by the result set of a report. Select the Report Driven for the and then select the report containing the recipients. A report for report-driven distribution must contain a table and no chart, where the logical name of the first column in the report is Email and contains the email addresses of the recipients (multiple values need to be separated by a semicolon). The logical name of the column must be "Email". It's not sufficient to rename the column in the report.
- User or Email
- User: Select the Birst user accounts in the space you would like to send the notification to. If Infor Document Management is enabled for your space, the users will receive en email stating a new attachment is available in IDM.
- Email: Enter the email addresses you would like to send the notification to. When sending this email to multiple addressees, separate emails with a semicolon and no spaces. For example, MyBoss@myCo.com;Me@myCo.com.
- Email List or Report Driven
- Subject. This is the email subject line.
- Message. This is the email body. Add variables using the V{variable_name} syntax.
- Repeats. Select the frequency to send the email. Select from one of the three options in the dropdown.
- Daily
- Weekly
- Monthly
- At. Specify the time and time zone for when to send this email.
- Report. Select the report.
- Attachment Format. Select the format type for the report.
- Attachment Name. This will be the name of the attached document.
- File Compression. Select either Zip or Gzip to attach the document as a compressed file
- Trigger Report. You can specify a trigger report that controls whether or not the email with the content report is sent to the distribution list. This trigger report must contain a table only and no chart. Email messages with the content report are sent to the recipients only if the trigger report returns a result set. For example, you could set up a trigger report to return results only if a certain measure falls below a threshold value.
- Select Save.
- To manage existing, use the More Actions menu to Edit, Run Now, or Delete.
